Are these templates really free?
Yes. Every template downloads as a printable PDF and an editable Word copy, and quotes and invoices as an Excel copy that adds up the totals and VAT for you. There's no sign-up and no email needed.
Which template do I need: a quote, an invoice or a receipt?
A quote is the price before the work, for the customer to accept. An invoice asks to be paid once the work (or a stage of it) is done. A receipt confirms you've been paid. A job sheet records the visit itself: the work, the checks and the customer's signature.
Do I have to charge VAT?
Only if you're VAT registered, which you must be once your taxable turnover goes over £90,000 in 12 months. Then most trade work is standard-rated at 20%. If you're not registered, charge no VAT and don't show a VAT number.
Is there a quicker way than filling in templates?
ViperJob is a quote and invoice app for UK trades on Android. You say the job and it prices the lines from your own price list, adds VAT, and sends a branded PDF. Accepted quotes become invoices in one tap, and paid invoices give a receipt. It's free for 3 quotes a month.
