What to put on a builder invoice
- The word Invoice and a unique invoice number (number them in order)
- The invoice date and the date the work was finished
- Your business name and address; a limited company puts its full registered name
- The customer's name and address
- What you did, with line prices and the total
- If you're VAT registered: your VAT number and, for each line, the VAT rate, with the VAT total
- Payment terms and how to pay: bank details with the invoice number as the reference, and a card payment link if you have one
Tips for builders
- On a stage payment invoice, name the stage, the amount for it, what's been paid so far and what's left on the contract.
- As a subcontractor, the contractor takes CIS off your labour only: 20% if you're registered, 30% if you're not, nothing if you have gross payment status. Put your UTR on the invoice.
- VAT-registered and invoicing a VAT-registered contractor for construction work? The domestic reverse charge applies: charge no VAT and write "Reverse charge: customer to pay the VAT to HMRC". It doesn't apply to work for homeowners.

How does CIS work on a builder's invoice?
When you work for a contractor as a CIS subcontractor, the contractor takes the deduction off your labour only, not your materials or VAT: 20% if you're registered, 30% if you're not. Your invoice shows the full price, the deduction and the amount due, with your UTR. The contractor pays the deduction to HMRC and sends you a statement, and it counts towards your tax bill.
What makes an invoice a VAT invoice?
Once you're VAT registered, your invoices must show your VAT number, the price of each line without VAT, the VAT rate and the VAT amount, and the total. If you're not registered you must not charge VAT or show a VAT number.
How long should payment terms be?
That's up to you: payment on completion, 7, 14 or 30 days are all common. Put the due date on the invoice. With business customers, if you agreed no terms, the Late Payment of Commercial Debts Act lets you claim interest at 8% over the Bank of England base rate once 30 days have passed.
