Terms
- The boiler warranty depends on a yearly service by a Gas Safe registered engineer.
- The installation is notified to building control through Gas Safe; the certificate is posted to the customer.
- Faults found on existing pipework or radiators are priced and agreed before any extra work.

What to put on a gas engineer invoice
- The word Invoice and a unique invoice number (number them in order)
- The invoice date and the date the work was finished
- Your business name and address; a limited company puts its full registered name
- The customer's name and address
- What you did, with line prices and the total
- If you're VAT registered: your VAT number and, for each line, the VAT rate, with the VAT total
- Payment terms and how to pay: bank details with the invoice number as the reference, and a card payment link if you have one
Tips for gas engineers
- Show your Gas Safe number on the invoice as well as the quote.
- A boiler swap is standard-rated at 20% if you're VAT registered; a heat pump fitted in a home is zero-rated until 31 March 2027.
- For a landlord gas safety check, put the property address and the date of the record, so the landlord can file it.

Is VAT charged on a new boiler?
If you're VAT registered, a new gas boiler and its fitting are standard-rated at 20%. Heat pumps fitted in a home are zero-rated until 31 March 2027. A gas engineer who isn't registered charges no VAT.
What makes an invoice a VAT invoice?
Once you're VAT registered, your invoices must show your VAT number, the price of each line without VAT, the VAT rate and the VAT amount, and the total. If you're not registered you must not charge VAT or show a VAT number.
How long should payment terms be?
That's up to you: payment on completion, 7, 14 or 30 days are all common. Put the due date on the invoice. With business customers, if you agreed no terms, the Late Payment of Commercial Debts Act lets you claim interest at 8% over the Bank of England base rate once 30 days have passed.
