What to put on a handyman invoice

  • The word Invoice and a unique invoice number (number them in order)
  • The invoice date and the date the work was finished
  • Your business name and address; a limited company puts its full registered name
  • The customer's name and address
  • What you did, with line prices and the total
  • If you're VAT registered: your VAT number and, for each line, the VAT rate, with the VAT total
  • Payment terms and how to pay: bank details with the invoice number as the reference, and a card payment link if you have one

Tips for handymen

  • Under the £90,000 VAT threshold and not registered? Charge no VAT and leave off any VAT number.
  • Put the materials you bought on their own line, and keep the shop receipts for your expenses.
  • Ask for payment on completion, and put bank details and a card payment link on the invoice so you're paid before you drive off.

Handyman Invoice Template: questions

Does a handyman need to charge VAT?

Only once you're VAT registered, which you must be when your taxable turnover goes over £90,000 in 12 months. Most handymen are under it: then you charge no VAT and must not show a VAT number on your invoices.

What makes an invoice a VAT invoice?

Once you're VAT registered, your invoices must show your VAT number, the price of each line without VAT, the VAT rate and the VAT amount, and the total. If you're not registered you must not charge VAT or show a VAT number.

How long should payment terms be?

That's up to you: payment on completion, 7, 14 or 30 days are all common. Put the due date on the invoice. With business customers, if you agreed no terms, the Late Payment of Commercial Debts Act lets you claim interest at 8% over the Bank of England base rate once 30 days have passed.
