What to put on a locksmith invoice

  • The word Invoice and a unique invoice number (number them in order)
  • The invoice date and the date the work was finished
  • Your business name and address; a limited company puts its full registered name
  • The customer's name and address
  • What you did, with line prices and the total
  • If you're VAT registered: your VAT number and, for each line, the VAT rate, with the VAT total
  • Payment terms and how to pay: bank details with the invoice number as the reference, and a card payment link if you have one

Tips for locksmiths

  • List each lock with its make and standard, so the customer can show their insurer.
  • Write how many keys you handed over.
  • Take payment on site: a card payment link with a QR code on the invoice saves a trip to a cash machine.

Locksmith Invoice Template: questions

What should a locksmith's invoice show for insurance?

The address, the date, each lock fitted with its make and standard (BS3621 for mortice locks, TS007 3-star or SS312 Diamond for euro cylinders), and the number of keys. That's what an insurer asks for after a burglary or when checking a policy's lock rules.

What makes an invoice a VAT invoice?

Once you're VAT registered, your invoices must show your VAT number, the price of each line without VAT, the VAT rate and the VAT amount, and the total. If you're not registered you must not charge VAT or show a VAT number.

How long should payment terms be?

That's up to you: payment on completion, 7, 14 or 30 days are all common. Put the due date on the invoice. With business customers, if you agreed no terms, the Late Payment of Commercial Debts Act lets you claim interest at 8% over the Bank of England base rate once 30 days have passed.
