Terms

  • Stage payments are due within 7 days of each stage being finished.
  • Changes to the work are agreed and priced in writing before they're carried out.
  • Provisional sums are adjusted to the actual cost once the items are chosen.

Example lines and prices only: put in your own.

What to put on a builder quote

  • Your business name, address, phone and email, and your VAT number if you're registered
  • The customer's name and the address where the work is
  • A quote number, the date and how long the price stands (30 days is common)
  • Each part of the job on its own line, with quantity and price, so the customer can see what they're paying for
  • VAT shown separately if you're VAT registered
  • Any deposit, your payment terms and what isn't included
  • A space for the customer to sign and date to accept

Tips for builders

  • Break the work into stages with a price for each, and say when each stage payment is due.
  • Say who arranges building control, planning and any Party Wall notices, and who pays the fees.
  • List provisional sums for things not chosen yet (kitchen, tiles, sanitaryware) and say they'll be adjusted to the real cost.
  • Say how changes are handled: agreed and priced in writing before the work is done.

Builder Quote Template: questions

Should a builder's quote be a fixed price?

Fix what you can: the stages you can see and measure. Put the things the customer hasn't chosen yet in as provisional sums, and the risky parts (old drains, ground conditions) as their own priced items or with a clear rate. A quote with no exclusions is the one that leads to arguments.

What's the difference between a quote and an estimate?

A quote is a fixed price for the work it describes: once the customer accepts it, that's the price unless the job changes. An estimate is your best guess and can go up or down. If you can't be sure, for example until a floor is up, quote what you can and say how the unknown part will be priced.

Does a customer have the right to cancel an accepted quote?

If the contract is agreed in the customer's home, or by phone or online, they usually have 14 days to cancel under the Consumer Contracts Regulations, and you must give them the cancellation information. If they ask you to start within the 14 days, they pay for the work done if they cancel. Urgent repairs they called you out for are different. Business customers don't get this right.
