What to put on a painter and decorator quote

  • Your business name, address, phone and email, and your VAT number if you're registered
  • The customer's name and the address where the work is
  • A quote number, the date and how long the price stands (30 days is common)
  • Each part of the job on its own line, with quantity and price, so the customer can see what they're paying for
  • VAT shown separately if you're VAT registered
  • Any deposit, your payment terms and what isn't included
  • A space for the customer to sign and date to accept

Tips for painters and decorators

  • Price per room or per job, and say how many coats go on each surface.
  • Name the paint by brand, range and finish, or say the customer supplies it.
  • Spell out the prep: filling, sanding, a mist coat on new plaster, stain block where needed.
  • Say what's not included: moving heavy furniture, stripping wallpaper, repairing blown plaster.
  • For outside work, say it depends on dry weather and that wet days move the dates.

Painter & Decorator Quote Template: questions

Should decorators quote per room or per day?

Customers prefer a price per room or for the whole job, because they can compare it. Work it out from your day rate and how long the prep and coats take, then quote the total and say what's included. Keep the day rate for extras.

What's the difference between a quote and an estimate?

A quote is a fixed price for the work it describes: once the customer accepts it, that's the price unless the job changes. An estimate is your best guess and can go up or down. If you can't be sure, for example until a floor is up, quote what you can and say how the unknown part will be priced.

Does a customer have the right to cancel an accepted quote?

If the contract is agreed in the customer's home, or by phone or online, they usually have 14 days to cancel under the Consumer Contracts Regulations, and you must give them the cancellation information. If they ask you to start within the 14 days, they pay for the work done if they cancel. Urgent repairs they called you out for are different. Business customers don't get this right.
