Builder Receipt Template
Stage payments on a building job add up to large sums, so each one needs a receipt. This builder receipt template shows what was paid, for which stage, and what's left on the contract.

What to put on a builder receipt
- Your business name and contact details
- A receipt number and the date the money came in
- Who paid, and what for: the invoice number or the job
- How much you received and how it was paid (cash, bank transfer or card)
- What's still owed, if anything, so a part payment or deposit is clear
- Your VAT number if you're VAT registered
Tips for builders
- Put the stage on each receipt ("Stage 2: walls to wall plate"), so the customer can match it to the quote.
- Show the contract total, what's been paid to date and what's left after this payment.

Do I need to give a receipt for each stage payment?
It's good practice. Each receipt should name the stage, the amount, the date and what's left on the contract. If the job runs over months, it saves the customer adding up bank statements to see where they stand.
What's the difference between an invoice and a receipt?
An invoice asks to be paid; a receipt shows you were. Send the invoice when the work is done (or for a deposit), and the receipt when the money comes in. A business customer who is VAT registered needs your VAT invoice to claim the VAT back; a receipt alone isn't enough.
How long do I keep copies of receipts?
HMRC asks sole traders to keep business records for at least 5 years after the 31 January tax return deadline for that year, and limited companies for 6 years. Keep a copy of every receipt you give, and of every one you're given for materials.
