What to put on a carpenter receipt

  • Your business name and contact details
  • A receipt number and the date the money came in
  • Who paid, and what for: the invoice number or the job
  • How much you received and how it was paid (cash, bank transfer or card)
  • What's still owed, if anything, so a part payment or deposit is clear
  • Your VAT number if you're VAT registered

Tips for carpenters and joiners

  • For a materials deposit, list what it buys (the oak, the worktop, the doors) on the receipt.
  • Show the balance due on fitting, so the customer knows what's left.

Carpenter & Joiner Receipt Template: questions

Should I give a receipt for a materials deposit?

Yes. Say what the deposit pays for and the balance due on fitting. If the customer later cancels, the receipt shows what was bought for them, which helps when you agree what's refunded.

What's the difference between an invoice and a receipt?

An invoice asks to be paid; a receipt shows you were. Send the invoice when the work is done (or for a deposit), and the receipt when the money comes in. A business customer who is VAT registered needs your VAT invoice to claim the VAT back; a receipt alone isn't enough.

How long do I keep copies of receipts?

HMRC asks sole traders to keep business records for at least 5 years after the 31 January tax return deadline for that year, and limited companies for 6 years. Keep a copy of every receipt you give, and of every one you're given for materials.
