Roofer Receipt Template

A re-roof usually means a deposit for materials and scaffold, then the balance when the roof is done. This roofer receipt template records each payment and what's still owed.

What to put on a roofer receipt

  • Your business name and contact details
  • A receipt number and the date the money came in
  • Who paid, and what for: the invoice number or the job
  • How much you received and how it was paid (cash, bank transfer or card)
  • What's still owed, if anything, so a part payment or deposit is clear
  • Your VAT number if you're VAT registered

Tips for roofers

  • For a materials deposit, say what it pays for (tiles, membrane, lead) and that the balance is due when the scaffold comes down.
  • If an insurer is paying for storm damage, put the claim reference on the receipt.

Roofer Receipt Template: questions

Should a roofer take a deposit?

For anything bigger than a repair, many roofers take a deposit to cover materials and scaffold. Take it against a signed quote, give a receipt saying what it's for, and take it off the final invoice.

What's the difference between an invoice and a receipt?

An invoice asks to be paid; a receipt shows you were. Send the invoice when the work is done (or for a deposit), and the receipt when the money comes in. A business customer who is VAT registered needs your VAT invoice to claim the VAT back; a receipt alone isn't enough.

How long do I keep copies of receipts?

HMRC asks sole traders to keep business records for at least 5 years after the 31 January tax return deadline for that year, and limited companies for 6 years. Keep a copy of every receipt you give, and of every one you're given for materials.
